We are delighted that you have decided to do your study exchange at Polytechnic University of Setúbal (IPS). Here you may clarify our application procedure and deadlines.
The applications that do not follow these procedures will not be accepted. Furthermore, the applications which have not been confirmed by the international office of the sending institution will be disregarded. Finally, notice that applications must be approved by our mobility coordinators.
Application Procedure
Before you apply for an Erasmus exchange you must be nominated (by e-mail) by your home Institution. Please contact in advance your international office.
For your Erasmus application you should follow these steps:
- 1. Student Registration available here;
- Online Learning Agreement (OLA);
- Visa (if applicable) – to be sent by e-mail after receiving the acceptance letter and before arrival IPS.
Deadlines
- Nominations for Fall Semester: May 30th
- Applications for Fall Semester: June 15th
- Nominations for Spring Semester: October 15th
- Applications for Spring Semester: November 15th

Nomination by your home institution
Student must be nominated by email (cimob.dici@ips.pt) with the following information: student’s name, area of study, IPS school, mobility period (fall or spring semester or both) and students’ e- mail.
Learning Agreement
From now on, following the European Commission guidelines we are only allowed to receive Online Learning Agreements through Erasmus Without Paper (EWP).
Language requirements
To attend any International Module at IPS Schools students must have an English oral and written level of B1 to successfully complete the course.

Grading Systems and Academic Recognition
At the end of students’ mobility, IPS will issue the Transcript of Records with the students’ grades and send it to their home institution.
Grades will be assigned according to the European Credit Transfer and Accumulation System (ECTS) and the ECTS grading scale:

| B | 25 | Very Good: above average standard but with some errors. |

| E | 10 | Sufficient: performance meets the minimum criteria. |
| F | – | Fail: some more work required before credit can be awarded. |
The Portuguese grading system is ranked on a scale of 0 to 20. To pass a subject, students must achieve a minimum score of 10:
- 0 to 9 – Insufficient
- 10 to 13 – Adequate
- 14 to 15 – Good
- 16 to 17 – Very good
- 18 to 20 – Excellent
The sending institution is responsible for their students’ academic recognition. To get more information about this issue students must contact the International Relations Office of their institution.
VISA Requirements
Citizens of the European Union (EU), the European Economic Area (EEA – Andorra, Iceland, Liechtenstein and Norway), as well as Switzerland, need only an identity card to enter in Portugal.
Citizens from other countries need a Visa.
Requests for a Visa can be made at any Portuguese Embassy or Consulate in one’s home country.
When needed, students may request their visa renewal during their study period in Setúbal in the Agency for Integration, Migration and Asylum – Agência para a Integração Migrações e Asilo – AIMA.
Insurance
The Polytechnic University of Setúbal does not have any insurance arrangements for incoming students.
Exchange students arriving from EU/EAA countries need the European Health Insurance Card or private health insurance.
Exchange students arriving from other countries need private health insurance.
